Events Coordinator

Education and/or Experience:

• Bachelor’s degree in Public Relations or Marketing preferred.
• 3-5 years experience in event planning, marketing and/or public relations, preferably with a non-profit organization.
• Supervisory experience a plus.


• Ability to meet deadlines in a fast-paced environment.
• Excellent writing skills.
• Attention to detail.
• Ability to think on one’s feet, adapt quickly, make decisions and solve problems on the fly.
• Strategic thinking to ensure events are relevant to the Chamber’s target audiences and reflect the Chamber’s brand.
• Must be knowledgeable about programs and activities of the Chamber, taking initiative to educate him/herself on new programs and events.
• Availability to work occasional non-traditional hours (early morning; evenings, weekends).
• Valid driver’s license.


• Proficiency in Microsoft Office applications and membership database software.
• Must be able to operate standard office equipment, including telephone, calculator, computer, printer, fax, and copier.
Travel: 50% local

Job Summary:

The Events Coordinator, in collaboration with the Director, Events & Resource Development, is responsible for executing high-quality events and programs that advance the priorities of the Chamber and provide tangible value to members and investors. The Event Coordinator works collaboratively with all Chamber staff to determine and coordinate events that directly support the organization’s priorities.

*Essential Functions and Responsibilities:

• Assists in the development of annual calendar of events based on Chamber’s priorities and focused towards target audiences
• Assists in the coordination of all event details including:
a) Working with staff to secure appropriate speakers for each event
b) Manages, coordinates, and facilitates event logistics
c) Works with Director, Communications to identify event promotion needs - including pre, during, and post event marketing
d) Works alongside Communications Division to meet or exceed budgeted attendance goals
e) Creates PowerPoint and any other presentations needed for events
f) Assists in managing budgets for events to ensure net revenue goals are attained
g) Assists in developing event sponsorships
h) Enters all events and sponsorships in Chambermaster
i) Participates in program evaluation for continued relevancy and effectiveness
j) Ensures Chamber events are of the highest caliber and reflect our brand
k) Works with Director, Events & Resource Development to manage volunteer committees
• Assists in new volunteer recruitment
• Follows up with Members on past due event and sponsorship invoices
• Attends internal staff meetings as needed to stay informed on event related opportunities
• Participates annually in a minimum of two community events, continuing education activities or other initiatives to build relationships with diverse populations and / or strengthen cultural competency important to fulfilling the mission of the Chamber and Q2030
• Takes initiative to ensure his / her committees, public statements, presentation materials and so on reflect the racial, ethnic, gender and age diversity of the community whenever possible
• Performs other related duties as required.
